AirMed Compliance
Cultivate Compliance
Harmonize and streamline regulatory compliance

Created in Canada to help licensed producers meet Canadian and international regulatory compliance, AirMed also provides quality management tools to minimize risks, increase productivity, and enhance customer satisfaction.
Your Compliance
AirMed was designed to meet all quality standards for record-keeping systems, which means that AirMed is not only GPP-ready but also GMP-ready and GACP-ready. GMP-certification is required to export directly to many regions, but becoming certified can be expensive & time-consuming. GACP-certification can be faster & more economical, as it does not require equipment & software validation. To take advantage of overseas markets, GACP-certified LPs can sell bulk product to GMP-certified distributors.

AirMed Compliance Highlights
Designed to meet or exceed all Canadian regulations as well as international guidelines, AirMed is a better fit for your cannabis business than agro or greenhouse software. Processes with compliance implications are streamlined into easy repeatable workflows with full audit trails and automated reporting.

Whether starting with seeds, clones or tissue culture, AirMed tracks all information about the growth cycle including environmental conditions, nutrients, and experimental criteria.
Our system also tracks receipt of new source material, propagation, the vegetative cycle, flowering cycle, harvesting, packaging, sample management, waste management, destruction events, and the preparation of facilities for each grow cycle.
Support for GS-1 barcoding eases the complexity of production, packaging, quality-assurance, inventory management, and sale & distribution.
From the moment genetics enter your facility until the product arrives at its destination, AirMed helps you manage every stage. All workflows are integrated into a single secure Cloud application ensuring data integrity and quality control while simplifying compliance.

AirMed provides a comprehensive suite of cannabis management and record-keeping features to maintain and record all activity and compliance, including quality assurance and relevant SOPs.
Track all cannabis material from receiving, through the production cycles, packaging, testing, and purchase order through fulfillment and shipping to clients or wholesale purchasers.
Use robust communication management tools with secure privacy features to record and track every interaction/communication with authorities, suppliers & clients.
AirMed enforces checks on key safety regulations. Electronic records backed by generated printable reports/forms ensure easy Cannabis Act compliance.

AirMed tracks and logs every employee and client action to ensure audit-readiness, simplifying compliance for producers and regulatory bodies with reports and analytics.
Complete audit trails for every record and every action let administrators review who browsed, edited, added or deleted data anywhere in the system at any time.
Administrators can configure precise access based on an employee security profile, and electronic signatures and multi-factor authentication ensure only authorized employees can access data and complete tasks.
Detailed audit reports provide specifics on plants, destruction events, sample management, weights, and complete product traceability.

AirMed software offers full functionality for multi-level packaging with layered barcoding that meets GS-1 barcode standards. This is the standard required to sell to provincial governments and to many other distributors worldwide.
Licensed producers who use AirMed can assemble retail-ready individual product packages using a ‘master case’ system and identify and track products at each packaging level.
The AirMed track-and-trace system allows retail packages to be traced to the lot or batch and ultimately back to the original genetic material. And AirMed has a comprehensive multi-step recall process that completely automates recalls if they are ever needed.

Always innovating to help our customers meet the regulatory challenges they face daily, AirMed offers an automated system for Health Canada CTLS reporting.
Full Export: Using our full export process, thousands of reported fields tracked by AirMed automatically populate the Health Canada template. Not only is the time required to complete monthly reports reduced, but the potential for human error often encountered in manual data entry is eliminated.
Summary Reports: Our CTLS summary reports breakdown key fields with links to details that identify the exact inventory records and values used to calculate totals.
Our Compliance
A software system cannot become GMP-certified. Only a manufacturing facility can achieve that qualification. The role of software in cannabis compliance is to deliver the means for managing & tracking regulated processes in a production or manufacturing facility and to provide record-keeping for auditing. Our responsibility as a vendor is to ensure that our software meets the specified guidelines and can be validated against your practices.

Vendor Validation
Our organization successfully passed an external audit by a pharmaceutical manufacturer to determine if the organization was suitable as a supplier and if the company's software was acceptable for use in the regulated environment.

ISO Review
Our organization underwent a review by a certified ISO consultant to ensure that internal policies, procedures & documentation met the guidelines of quality systems including those of the International Organization for Standardization.

Software Development
AirMed conforms to an acceptable Software Development Life Cycle (SDLC) and follows standard operating procedures for all critical processes related to design, testing, product release and maintenance.
AirMed Modules

Yes, totally! AirMed is designed for all production facility sizes and types. Wherever your business fits in the supply chain, our software can manage your operations. We help you meet compliance at any stage of the seed-to-sale process, but we also help you cultivate quality, efficiency, precision, insight and profitability.
Yes. We developed AirMed to scale from producers with a thousand square feet to a million square feet and beyond. Regular performance testing and tuning ensures our system is scalable for the needs of even the largest producers.
Our founders have spent more than 25 years creating software for high-consequence industries and have assembled a team of seasoned specialists who understand the challenges you face. We used our expertise to create a mission-critical seed-to-sale solution that facilitates compliance and best practices for your cannabis business.
Yes. We offer full support throughout your license application process and provide documentation that outlines how AirMed meets Health Canada requirements. If you plan to use AirMed for compliance after you are licensed, you submit the documents we supply as part of your application. We also partner with specialists in licensing applications and business management if you need more help.
After the system has been configured for your organization, your account will be put on hold while you go through the application process. When you receive your license, you’ll need to notify us. We’ll activate your subscription, and you’ll go live with the software.
The federal government has a webpage that outlines the basics related to doing business in the cannabis industry in Canada. Visit: https://www.canada.ca/en/services/health/campaigns/cannabis/industry.html
Compliance
Yes, of course! AirMed software is specifically designed to meet or exceed the Cannabis Act regulations and includes full audit support capabilities and comprehensive reporting. AirMed regularly passes Health Canada inspections. For more information visit our Compliance page.
AirMed software is designed to support and comply with federal, provincial and local legislation. In fact, AirMed meets the USA’s FDA 21 CFR Part 11 regulations. Those are considered to be some of the most comprehensive electronic record keeping specifications in the world and are the basis for the standards set by many regulatory agencies in other countries.
Yes. AirMed produces the required information for government reporting, whether monthly, quarterly, or annually. AirMed has pre-formatted reports for Cannabis Licensing & Tracking System (CTLS) and Canada Revenue Agency (CRA) with supporting sub-reports to provide the validation detail. Our software lets you export data to other systems or print reports to retain the data outside of AirMed as archived printed or electronic records.
Yes. AirMed has been designed to meet all quality standards systems including Health Canada’s Good Production Practices (GPP) as well as the European Union’s Good Manufacturing Practices (GMP) and others such as ISO. But be aware that quality standards require more than what any software application can provide. Compliance involves all production processes as well as site safety, security & sanitation, worker actions and more. For more information ask us for our GMP white paper or visit our Compliance page.
Every action/workflow in AirMed is auditable, and built-in audit reports & forms provide complete product traceability. Inventory, recall, destruction and other reports can be generated as needed, and authorized site auditors can be given access to perform inspections of records. AirMed retains all records indefinitely and also lets you export or print reports that can be held for required retention periods for audit purposes.
We update the compliance report templates every time a regulatory body makes a change to the requirements. As a result, AirMed will always use the most recent CTLS report template provided by Health Canada. As an SaaS/cloud-based system, upgrades are carried out by us behind the scenes.
Operational
AirMed is delivered through a SaaS (software-as-a-service) model and is accessed solely through a web-browser interface. Because AirMed is a hosted solution, you can log into the application from anywhere the Internet is available (or using mobile data for phones/tablets). No additional software or hardware is required.
Yes. Through integration with industry recognized assets such as scales, printers and environmental monitoring systems, producers have the greatest choice and flexibility when deploying the system. Many producers utilize reliable and cost-effective ruggedized tablets for production areas. These tablets range in price and performance and include built-in barcode readers and cameras.
Yes. We provide an application programming interface (API) that lets you integrate AirMed with other platforms such as accounting, quality management, ERP software and more. Although, for most cannabis businesses, AirMed is the only software they need.
AirMed offers comprehensive reporting for both business intelligence and compliance. Dozens of pre-built reports are available for sales, clients, inventory, production and more. The reports provide numerous views of the data and combine to give a complete picture of the current state of all material in the facility. Clients can also create their own reports using our built-in report designer, and AirMed can accommodate multiple facilities with each defined and reported on individually.
Yes. Role-based management in AirMed helps control employee access to specific actions in the software. Employees can be assigned to the roles that correspond to the requirements of their jobs. Employees not assigned to specific roles are prevented from accessing the associated workflows.
Yes. AirMed has the functionality for multi-level packaging with layered barcoding that meets the GS-1 standards required by many distributors. You can assemble retail-ready individual product packages using a ‘master case’ system and identify and track products at each packaging level. AirMed has features for creating and processing the orders as well as fulfilling and shipping them to provincial agencies.
Production
AirMed gives you the flexibility to manage plants individually or in groups. Group-managed plants are recorded by counts, so there is no need to print off labels for every plant. But if you want precision tracking, for small batches or mother plants for example, you can manage plants individually. Plant actions are recorded by scanning the barcode associated with the plant using a tag or container label.
Yes. AirMed provides the functionality to track selective harvesting. If you wish to harvest three tables one day and three tables another day, AirMed can record that. You can also record harvesting part of the plant at one time (flowers, for example), and then let that plant continue grow and harvest more later.
Yes. AirMed fully manages the processing of extractions including hemp processing for CBD.
With AirMed you can take as many samples as you want at all stages. Take samples of seeds, clones, and batches and record them all for retention. You can also take samples of received items.
Implementation
As a cloud-based system, there is no hardware to install so set up consists mainly of configuring the software to meet your needs. Our implementation begins with a kick-off meeting to provide you with all the information you need to move forward and then follows four steps: Learn; Configure; Train; and Go Live.
Yes. AirMed has built-in elearning with step-by-step workflow instructions. Plus, AirMed offers a shared practice database that contains the same features that your production environment will have and is populated with sample data for all areas of the system. AirMed Learn is available anytime you want to experiment with features, refresh your knowledge or train new employees.
The time it takes to implement AirMed varies from organization to organization depending on the size and complexity of the operation. For micros, basic system configuration for cultivation can be completed as soon as you sign up with AirMed. This means that when you receive your license, you can go live almost immediately. Setting up for extractions, consumables and other more complex processes can take longer. Since these typically happen after a cultivation cycle, there should be no delay.
Yes. With AirMed you can implement only the functionality you need right now. For example, you can start by implementing the AirMed Grow module, then when you expand your operation, you can activate modules that meet your current needs for performing extractions, packaging for provincial sales, selling to medical patients and so on.
Security & Privacy
AirMed is a cloud-based platform hosted in a 3rd party, SSAE 16 SOC 2 Type 2 certified data centre in Canada that complies with Canadian Privacy and Security regulations as well as HIPAA and PCI. The fully redundant architecture uses enterprise VMware servers with multi-layered protection including network, hypervisor and virtual machine layer security features.
Yes. All communication between the browser and the server is encrypted using SSL. Sensitive data is additionally encrypted while at rest in the database. When a barcode is scanned, the resulting code is input into a field within the web browser. This data is then encrypted and sent to the server for processing.
Yes. Administrators can configure access based on an employee security profile so that individual workers only have access to the functions and data that relates to their job responsibilities. Electronic signatures and multi-factor authentication ensure only authorized users can access information and complete tasks. Full audit trails for every record and every action in the system allows administrators to review changes anywhere at any time.
Yes. Our host backups your data using redundant enterprise network storage protected by the latest RAID technology.
Yes. All data in AirMed is stored at a Canadian facility, and all data remains in Canada.
